ProjectWon does not currently offer customer photo or file uploads as a standard feature. If photo, file, or document upload features are added or enabled in the future, we may collect and process the files you choose to submit.

If you interact with a service business that uses ProjectWon, we may process information on behalf of that business. This may include your name, contact information, service address or location, service request, appointment preferences, property information, communication history, and related details needed to respond to your inquiry or schedule service.

In those cases, the service business may also control how your information is used. You may need to contact that business directly for questions about your appointment, service request, or customer relationship.

Depending on how the services are configured, we may collect or process:

Depending on the client's settings, ProjectWon may automatically book appointments when availability exists. Business customers are responsible for keeping their calendars, scheduling rules, service areas, availability, pricing information, and service details accurate.

AI-generated outputs may be inaccurate or incomplete. Business customers are responsible for reviewing and supervising how AI and automation are used in their operations.

We do not use AI to intentionally make decisions that produce legal or similarly significant effects about individuals without appropriate human involvement, unless clearly disclosed and allowed by law.

4. Cookies, Analytics, and Advertising Technologies

We may use cookies, pixels, tags, analytics tools, advertising tools, retargeting technologies, and similar tracking technologies to understand how visitors use our website, improve user experience, remember preferences, measure marketing performance, run advertising campaigns, personalize or improve content, and protect our services.

  • Missed-call text-backs sent automatically when a customer's call goes unanswered;
  • Appointment confirmations sent after a booking is created;
  • Appointment reminders sent before a scheduled service visit;
  • Service updates sent during or after a technician visit;
  • Follow-up messages sent after service is completed;
  • Account and onboarding messages sent to ProjectWon business customers.

Message frequency depends on customer activity and the business's communication settings, but typically ranges from 1–5 messages per service interaction. ProjectWon does not send messages without prior consent or a recognized lawful basis (such as a customer's prior inbound contact with the business).

If you provide your phone number, email address, or other contact information through a ProjectWon-powered form, booking page, chat widget, phone call, or other communication channel, you may receive communications related to your inquiry, appointment, account, service request, or business relationship.

Marketing messages are sent only with proper consent. You may opt out of marketing texts at any time by replying "STOP" or using another reasonable opt-out method. You may opt out of marketing emails by using the unsubscribe link or contacting us. After opting out of marketing messages, you may still receive non-marketing messages related to active appointments, transactions, security, or account administration where allowed by law.

Reply "HELP" to any text message for assistance. Message and data rates may apply. Message frequency may vary based on your inquiry, appointment activity, and communication preferences.

6A. SMS Opt-In and Consent

You may opt in to receive SMS messages from ProjectWon by:

  • Submitting your phone number through a web form on projectwon.ai;
  • Checking an SMS consent checkbox on a booking page or contact form;
  • Engaging with the chat widget on projectwon.ai;
  • Calling or texting one of our business numbers;
  • Signing up as a ProjectWon customer through our onboarding process.

By opting in, you agree to receive text messages from ProjectWon at the phone number you provided. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying "STOP" to any text message. Reply "HELP" for assistance.

ProjectWon will not share your mobile phone number, SMS opt-in consent, or any information collected through SMS opt-in with third parties for marketing purposes. SMS opt-in consent and related phone number data is used only by ProjectWon and the service business you contacted (where applicable) to provide the services you requested. We do not sell, rent, or share SMS opt-in data with advertisers, data brokers, or other third parties for their marketing or promotional purposes.

7. Data Retention

We keep personal information for as long as reasonably necessary to provide services, manage accounts, resolve disputes, comply with legal obligations, enforce agreements, maintain security, and support legitimate business needs.

Retention periods may vary depending on the type of information, the business customer's settings, legal requirements, and operational needs.

ProjectWon takes data security seriously and uses a combination of administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction. These safeguards include:

  • Encryption of data in transit using industry-standard TLS protocols;
  • Encryption of data at rest where supported by our hosting and database providers;

ProjectWon may delay or limit notice where allowed by law, including when notice could interfere with an investigation, increase security risk, or reveal sensitive security information.

8B. No Protected Health Information or Highly Sensitive Data

ProjectWon is not designed to collect, store, or process protected health information, medical records, payment card numbers, Social Security numbers, government identification numbers, financial account numbers, criminal background information, biometric data, precise geolocation, or other highly sensitive information unless ProjectWon LLC has specifically agreed in writing to support that type of data.

Clients and users should not submit sensitive information through the website or services unless ProjectWon LLC has agreed in writing to support that type of information and appropriate safeguards have been established.

ProjectWon is not intended to be used as a HIPAA-compliant system, medical record system, payment card storage system, or system of record for highly sensitive personal information unless a separate written agreement states otherwise.

10. Texas Privacy Notice

ProjectWon is based in Texas. Texas privacy law may provide Texas residents with certain rights regarding personal data, including rights to access, correct, delete, obtain a copy of personal data, and opt out of certain data uses where applicable, including targeted advertising, sale of personal data, or certain profiling.

13. Business Customer Data

When ProjectWon processes information on behalf of a business customer, that business customer may be the primary controller or owner of the customer relationship. ProjectWon may act as a service provider, processor, contractor, or vendor for that business customer, depending on the arrangement and applicable law.

For customer data submitted by or on behalf of a client, ProjectWon generally processes that data to provide services to the client, including lead response, appointment booking, customer follow-up, CRM setup, SMS and email automation, AI chat support, call recording, lead qualification, reporting, troubleshooting, security, and support.

Business customers are responsible for determining what information is collected, why it is collected, how long it is kept, whether it may be shared with ProjectWon, whether the customer has received required notices, and whether the customer has provided required consent.

Business customers are also responsible for the accuracy, legality, quality, and source of the data they provide, upload, import, sync, or connect to ProjectWon.

13A. Client Data Export, Deletion, and Retention

Clients may request export or deletion of certain client data by contacting ProjectWon at contact@projectwon.ai. We may retain certain information where needed for legal compliance, billing, tax, accounting, security, backup, dispute resolution, fraud prevention, audit, operational, or legitimate business purposes.

Deletion or export may be limited by technical restrictions, legal obligations, third-party service provider limitations, backup systems, connected platforms, active disputes, unpaid invoices, or the rights of other parties.
